Big Idea

The argument in one line.

The productivity unlock is not in the prompts you write but in connecting Claude to the tools you already live in, so it can act on real data instead of just talking about it.

Who This Is For

Read if. Skip if.

READ IF YOU ARE…
  • A business owner or solopreneur who uses claude.ai as a chat tool but has not yet connected it to any of your actual apps.
  • Anyone spending more than an hour a day switching between Gmail, a spreadsheet, a design tool, and a scheduling platform to get routine work done.
  • A founder or creator who wants Claude to execute tasks, not just brainstorm β€” and is willing to grant it write access to draft emails or update records.
  • Someone evaluating whether to pay for a social media scheduling tool and wondering if Claude plus a custom MCP connector could replace it.
SKIP IF…
  • You are already using Claude Cowork or Claude Code with MCP servers β€” this video covers the simpler claude.ai web interface.
  • You need a technical explanation of how MCP works under the hood β€” the video treats connectors as plug-and-play without covering the protocol.
  • You are looking for scheduled or event-driven automation; the workflows shown are single-session and manually triggered.
TL;DR

The full version, fast.

Most people use AI as a chatbot that agrees with them. This video argues the real lever is two things: a system prompt that tells Claude to challenge your assumptions and flag missing data, and a set of connectors giving Claude read/write access to your actual business tools. The demo walks four integrations in order of complexity β€” Gmail, Airtable, Canva, and a custom MCP app β€” ending with a vision of a single Claude session that scans your inbox, designs a carousel, and posts it to social media without touching three separate apps.

Atomic Insights

Lines worth screenshotting.

  • Most business owners use AI to brainstorm, not to act β€” connecting it to real tools is what converts conversation into completed work.
  • Instructing Claude to identify what it does not know before answering forces it to expose the gaps in your thinking rather than paper over them.
  • Any modern SaaS with a remote MCP server URL can be connected to claude.ai as a custom connector, even if it is not in the official directory.
  • Claude permission prompts for write actions are a feature, not friction β€” they keep you in control while letting the agent do the labor.
  • The biggest time cost in a business is not any single task but the context switching between apps to execute a multi-step workflow.
  • Connecting four tools to one chat interface does not just save time; it lets you chain them β€” Gmail input to Canva design to social post to Airtable log β€” in one session.
  • A brutal-honesty instruction in your Claude system prompt upgrades every future conversation, compounding in value over time.
  • Claude can tell you the MCP URL of a specific app if you ask it, removing the research step from the connection process entirely.
  • Social scheduling tools charging 80 dollars per month for 20 accounts are being undercut by MCP-connected alternatives at a third of the price.
  • Starting each new integration with a read-only query before granting write access is the low-risk way to verify the connection and build trust before the agent touches your data.
Takeaway

Connect the tools you live in, not just the chat window.

WHAT TO LEARN

The gap between AI as a toy and AI as a real business tool closes the moment you give it read and write access to the apps you actually use every day.

  • A two-line system prompt telling Claude to identify missing data and challenge your assumptions changes every future conversation β€” it is a one-time setup with compounding returns.
  • Official connectors work via an in-app directory; any other tool works via a remote MCP URL you paste manually β€” both follow the same permission model.
  • Claude asks permission before any write action and offers always-allow, allow-once, or deny β€” so you stay in control even as the agent does the labor.
  • Starting each new integration with a read-only query before granting write access is the low-risk way to verify the connection works and build trust in what the agent will actually do.
  • Chaining four connected tools in one chat session eliminates context switching entirely β€” the gain is not speed per task but the removal of transitions between tasks.
Glossary

Terms worth knowing.

MCP (Model Context Protocol)
A standardized way for AI models to call external tools and services. A remote MCP server URL is what you paste to give Claude read/write access to a third-party app.
Connector
Claude's term for an MCP integration. Official connectors appear in a built-in directory; custom connectors are any app exposing an MCP URL that you add manually.
Instructions for Claude
A persistent system prompt in claude.ai settings that applies to every conversation, used here to set business context and a brutal-honesty directive.
Always allow / Allow once / Deny
The three permission options Claude presents before executing a write action on a connected tool. Always allow skips the prompt for that action going forward.
Blotato
A social media content scheduling SaaS built by the video host, supporting MCP connections so Claude can post to social platforms directly from a chat session.

00:00If you're a business owner struggling to use AI to save time, make more money, and build leverage, you are not alone. Millions of business owners have heard of this AI thing but have no idea where to start. How do you actually use AI to be more productive in day to day real world tasks?
00:16In this video, I'm gonna show you exactly how to set up your AI tool so that you can be more productive, save ten hours a week, automate tedious work, make more money, and most importantly, create leverage for yourself as a business owner. But first, hit like, hit subscribe, hit the notification bell so you don't miss my next training.
00:33By the way, my name is Sabrina Romanov. I previously built and sold an AI company for millions of dollars, and now I teach millions of people AI for free. Now the AI tool I recommend is called Claude.
00:43Now you may have heard of Claude CoWork, Claude Desktop, Claude Code. We are just gonna use claude.ai, the website, and it should look just like ChatGPT.
00:52You have on the left sidebar your past conversations and a couple other features up here, and then you have the central space where you would type in your prompt. In order to set it up, let's make sure that Claude knows about you. On the bottom left corner, click your name, go to settings.
01:07Okay. In general, look for this section, instructions for Claude. This is where you wanna put a little bit about yourself, how you want Claude to talk to you if you have any preferences.
01:17For now, I recommend starting with explaining who you are, what your business is, just the basics. In my case, I'm the founder of Bloatato, a SaaS app for business owners and creators to make content and schedule it. Okay.
01:27You can add a little more information in this if you want. And I also recommend adding something like this. Instead of AI always agreeing with you, making you feel good about any idea you suggest, you can turn AI into your business sparring partner so that it challenges your ideas, challenges your assumptions, and actually makes you smarter and sharper in the process.
01:48For example, I prefer you answer with brutal honesty and identify weaknesses in my ideas, question my assumptions, and point out missing data. Go ahead and type something like this in there, and it will automatically be saved. Now let's go back to chat and try out a prompt.
02:03You can customize this for your business, but let's just type something like, what is the fastest way for my business to make an additional 1,000,000 in revenue limit to one offer and one channel.
02:19Okay. Go ahead and type a prompt like this. Obviously, tailor it to your business or your use cases.
02:25And really the main thing I wanna point out here is the experience is just like ChatGPT. But because we put that second line in the customization prompt where we ask AI to challenge our ideas, identify our weakest assumptions, point out missing data, the answers you get will be way, way sharper. In fact, here, Claude immediately replies with, here are all the things I currently don't know, and here's why it matters.
02:47Without this data, any attempt to answer the question I just posed is guesswork dressed up as strategy. So what we're doing here is we're turning AI from someone who just agrees with everything you say into a truly valuable business partner that challenges your thinking. And in the process of challenging your thinking, you're going to have to answer questions about data you're missing, about the assumptions you're making, and about the real pros and cons of any decision.
03:13Now the next set of use cases I wanna talk about have to do with connectors. Connectors are what allow Claude to use the tools that you use every day. For example, Gmail, HubSpot, your CRM, whatever you may use, Claude can actually connect to it and read the messages you read, read the data you read, and also update data as well.
03:32Once you understand this concept, we're gonna run through this concept with several different popular productivity tools so that you really understand this because this is what's going to save you hours and hours per week. On the left sidebar, click customize. Okay.
03:45You're gonna see skills and connectors. We're gonna click connectors. Okay.
03:48Your list will be empty here. So click the plus button here. Click browse connectors.
03:53And now you're gonna see a list of popular productivity apps, and you probably use a handful of these. So go ahead and search Gmail. K.
04:01Click connect in the upper right corner. And when you've connected it, you should see Gmail over here in the list. Now let's go try it out.
04:08So let's go back to the chat so you can open the you can click this back button, open the sidebar here. Let's go back to this chat.
04:16Now what's really cool here is we just connected our email to Claude. So now it can read our emails and do things like surface the most urgent emails. It can identify emails where we're blockers, where we should urgently reply.
04:28Here, I just said, what are my latest three unread emails? And Claude can even draft an email reply. So say, draft a one aligner reply to number two.
04:40Okay. And here, Claude is asking for additional permission. So when Claude creates a new draft email in your account, you can either always allow this, or if you want to approve it every single time before Claude can do so, you can click allow once.
04:55If you don't want Claude to proceed here, you can click deny. In this case, I'm gonna click always allow because these are draft emails. Okay?
05:02So you'll be able to see them in your drafts folder, and it's your choice whether to send them out. And here is my messy Gmail account, and you can see the draft here. K?
05:11Boom. Boom. And that is exactly what Claude drafted over here.
05:16And this is just the tip of the iceberg, guys. Um, there's a lot more you can do with Claude, especially if you use Claude Cowork or Claude Code. For example, you can set up a recurring email brief every morning that surfaces the most urgent emails to the top of the list so you can prioritize those.
05:33Now what I wanna do next is show you how to connect another tool. So on the left sidebar, click customize, go back to connectors.
05:39Now let's click browse connectors, and let's try adding Airtable. K?
05:44Click the plus button. Click connect. So Airtable will ask you what tables you wanna give Cloud access to.
05:52You can either click add all resources, which will give Claude access to all of your Airtable bases, or you can add a specific base.
06:00Then go ahead and click grant access. And once it's connected, let's go back to the chat to try it out. So click the back button here.
06:06If we wanna open our previous chats, we can as well. Let me pull up one of my air tables. So for example, this is an air table containing, uh, the YouTube videos that I have coming up in my pipeline.
06:17This is literally the one I'm filming right now. Uh, so let's go back to Claude and say summarize the YouTube videos that are supposed to be filmed.
06:29My air table called YouTube.
06:33Now just like with Gmail, when we first test out in an integration, I like to do a really simple one that simply reads data. It's not updating or creating any information yet. But the next prompt we're going to use will be to update a record in our Airtable database.
06:49So it's really cool here and what I want you to understand and take away from this video is you can connect AI tools to the apps that you actually use every day to get real work done. And AI can read that same data that you have access to. It can update that same data you have access to.
07:06It can create data. Like, it created the email draft.
07:10It can create rows in Airtable. Okay. So here's the summary.
07:14Today, uh, yesterday, two more already filmed.
07:18Okay. Now we wanted to update data within the Airtable. So currently, their status is idea, these two videos.
07:24And let's say we want to flip them to ready to edit. And just like what happened with Gmail, when Claude wants to create or update data on our behalf, it's going to ask you for permission. This is its default behavior.
07:38If you wanted to always do this, you can click always allow. In my case, I'm going to click allow once. I do want Claude in general to ask me for permission if it's going to update or create data in my Airtable.
07:52Okay. Now it says both updated. So let's go back to Airtable and just refresh the page.
07:58Okay. So now these are both ready to edit. All we did within a span of two minutes is we connected Airtable to Claude AI.
08:06We told Claude, hey. Summarize the status of some videos in our Airtable and then go update specific data in our Airtable.
08:14So hopefully, you can start to see how powerful this becomes. All you have to do is connect to the productivity tools that you actually use on a day to day basis and then work with Claude, collaborate with Claude to get your work done faster and smarter. Now let's try it with something else.
08:29So let's go back to customize, connectors. K.
08:33Click plus. And remember to browse all of the connectors available. There's truly truly so many.
08:39So now let's do a completely different one. For example, let's say we wanna make some posters or flyers or carousels for our company. Let's click Canva so we can connect Canva to Claude.
08:50Okay. Canva's going to ask for permission. I'm going to click allow.
08:53And just like before, let's go back to our previous chats. So now we have Canva connected. Let's use it.
08:59So use Canva to make a promotional flyer about my business. So first, Claude is going to ask us just a couple quick clarifying questions.
09:08Let's say my target audience is both. The tone is playful and fun, and now it's calling the Canva integration. It's searching different Canva templates on our behalf, and it's going to generate four different design variations that we can choose from.
09:24And by the way, you don't like any of them, you can give that feedback, and Claude will go make another four variations. Or if you like one, but you wanna change the text or you wanna change the colors or you wanna change the font, you can just tell Claude to go and do that. And this is synced with your Canva account.
09:39So anything we make here in Claude, you can then open up Canva and do any final edits there. Save it as a template in Canva so you can reuse it later. So, hopefully, you're starting to see how powerful this becomes as your kind of founder operating system once you connect to the tools you actually use.
09:57I actually like the second one. Let's say I like the second one, but I want to add potato to get 40% off.
10:08So here, Canva generated four different variations. By the way, you can hook up your Canva brand kit. Okay?
10:13So it follows your design and typography. Okay? So here, we just made it from scratch without the brand kits, but you have the option to do that as well.
10:21You can even create designs from Canva templates. So if you browse Canva and you see a design you like, you can just drop in the URL and say, hey. Make a carousel or flyer just like this Canva template.
10:35Just like before, Claude's going to ask for permission. Now it wants to edit the design it just made. I'm going to click always allow for this since I don't really mind if Claude is editing my Canva designs.
10:46Whereas with Airtable, I do care that that data is always accurate, so I want it to ask me for permission. And then remember for Gmail, it's creating draft emails. So it's still on your inbox to go ahead and check those drafts and hit send.
11:00K. And it's asking to save this to your Canva account. Let's click yes.
11:03Then Claude will show you the link so that you can open it directly in Canva, and you can actually make any last minute edits here. So here you can see it added our discounts promo code at the bottom, and you can move things around. If I move this over here, Canva will automatically save this edit, and I can even go back to Claude and say, hey.
11:21Edit this flyer again, and it's gonna edit this version with a text that I just moved. Meaning, everything is synced between your Canva account and Claude. Now what if you want to publish this flyer to social media?
11:32Let's say you made a nice flyer in Canva and now you wanna publish it to Facebook or Instagram or TikTok or YouTube or LinkedIn or Twitter. I actually built my own app to do that. It's called Plotato.
11:43Using it solo, I got over 32,000,000 views in the past thirty days, and it's super easy to set up with Claude AI. Once you're inside, click settings on the bottom left corner.
11:53Okay? Click API, and this will have instructions for how to connect it to claude.ai.
11:59All you have to do really is make sure you generate an API key. This is limited to paying users, by the way, to help me reduce spam. However, if you're unhappy for any reason, you can have a full thirty day money back guarantee, full refund.
12:12So let's go back to claud. Click customize. K.
12:15Connectors just like before. Go ahead and click the plus button, and this will be a little bit different. I wanna show you this because there are many apps you can connect Claude to, but they may not be listed in this official directory.
12:27Okay. You can click plus and click add a custom connector. Let's call this Plotato.
12:33And all you have to do is paste or type this URL, mcp.plotato.com/mcp. Click add, and it should pop up an authentication screen just like the other ones did as well. Now let's go back to our Claude conversation over here, and we want to post this flyer that we made in Canva over to Facebook.
12:55Post the flyer to Facebook with a a nice caption about the promo. And so what we're really doing here is now we're linking multiple apps within Claude.
13:07Right? First, we made the flyer within Canva, and now Claude is going to export it from Canva and post it to social media.
13:15Now Claude is just asking me, hey, I have multiple Facebook pages connected to Blotato. Which one should I post it to? I'm going to say the Bloatado page.
13:24By the way, real quick, to connect your social media accounts, just head over to accounts and you can connect everything here. Okay? Up to 20 social media accounts on the starter plan.
13:34Just so you know, the comparable cost for 20 social accounts on Buffer is over $80 per month compared to $29 per month here. And then in the calendar, you can also see all of your upcoming posts.
13:46You can manage your weekly schedule. So you can just set up your schedule here, like exactly which day you wanna post, what time you wanna post for which platforms, and then Claude can just add posts to your queue or it can schedule at specific times. Or in this case, we posted it right now.
14:03So click this link, and here is the Facebook post that we just published from within Claude. That's the beautiful part here, guys. We use Claude to use Canva to make a flyer synced with our Canva account, and then we had Claude export it from Canva and post this to social media on our account.
14:21You can imagine a multistep flow here connecting all of the tools we talked about today. Remember Gmail, Airtable, Canva, and Blotato for publishing to social media.
14:31For example, you could have Claude scan your email every day for interesting topics that could be made into social media posts. Then you call Canva to make a carousel about those topics. Then you call Blotato to post the carousel to Instagram or post it as a story, and then you upload it to Airtable so that you can log all of the social media posts that you've made.
14:54You can do all of that within Claude now that we've connected these four tools together. Now let's go back to the connector screen so you can see how many more tools there are to connect. For example, if you use Atlassian for documentation, Shopify for ecommerce.
15:09If your team uses Slack, you could push updates to Slack. You can pull data from Slack.
15:15If your team uses Zoom, you can pull meeting notes in automatically, make a Canva carousel out of them, and post it to social media. If your team uses HubSpot or Intercom for customer support, you can have Claude analyze tickets and analyze ways to improve your help documentation or knowledge base.
15:32If you have existing workflows and connections in Zapier, you can hook Claude up to Zapier to manage that. For project management, if you're using Todoist or ClickUp within your team, you can have Claude pull data from those project management systems and also update the status of projects. This is the main concept that I wanted to convey in this video, specifically how to use AI for business owners.
15:54You are going to save the most time and build leverage by setting up your claude.ai to connect with the productivity tools that you actually use on a day to day basis. So as an exercise from watching this video, I want you to make a list of the top five tools that you live in on a day to day basis, and I want you to connect them to claude.
16:16K? Now there were two ways we talked about. Just to recap, you can click browse connectors for official connectors of in the Anthropic directory, or many apps today, you can still add as a custom connector just like we did with Bloatado.
16:30All you have to do is get the remote MCP server URL. And again, you can ask Claude for this. For example, if you were to connect to Bloatato, but you really weren't sure where to go, you can ask Claude, how do I connect Bloatato MCP to Claude?
16:44And it will literally tell you how to do it here and what you have to paste here. This is the biggest unlock for business owners because you lose so much time and mental energy context switching between different apps. Now you can have a centralized system within Claude that links to all of the tools you actually use, and it serves as a sparring business partner that actually critiques your ideas, finds your blind spots, finds your weakest assumptions.
17:10And most importantly, it can do the work for you. So instead of just yapping all day with chat GPT, brainstorming different ideas, Claude can go get work done. You guys have an idea?
17:20Let's go make a Canva post. Let's post it on social media. Let's see what customers think.
17:25We'll send out an intercom survey. Hey. Let's check our CRM data.
17:28Let's draft emails to customers that are on the fence. Claude can help you do all of this. All these things that are scattered across multiple different tools and drain your time and energy.

The Hook

The bait, then the rug-pull.

The title promises something that should not be possible β€” and the video delivers it methodically, step by step, with live browser demos and real business data. By the end of the setup section, Claude is reading your email, challenging your revenue strategy, and telling you exactly what data it needs before it can help.
