Sam Altman, who is the CEO of OpenAI, literally has a betting pool with other tech CEOs on when we will see the first one person billion dollar company.
And Dario, the CEO of Anthropic, has gone even further. He thinks that AI could make the one person billion dollar company possible as early as 2026. Now, I'm not trying to build you a billion dollar company in this video.
But I do want to answer a much more practical question, which is if I had to run a B2B service business in 2026 all by myself, how exactly would I do that with the help of AI? For me, it comes down to six systems that are powered by AI. The first is the one that brings in the potential clients.
The second is the one that converts them. The third is for sales and followups. The fourth is for client onboarding and delivering.
The fifth one is for admin work. And the sixth one is a CEO dashboard that shows you exactly what is happening around and what needs your attention. And these are not some random six AI tools.
Instead, it is an integrated system where the output of one system naturally feeds the other. And the context is overall preserved. If you're new to my channel, hi, my name is Yashika Jain.
I'm the founder of Automates AI. We build AI automations and systems for businesses, and I work directly with founders through consulting. So a lot of what I will be showing you today comes from actually seeing what businesses need day to day, where the time gets wasted, and realistically, where AI can help without compromising on the quality.
And some of it also comes from my own experience of running Automates AI, wherein in the last one year, we have 10x'd our business using just AI systems. No extensive hiring. So if you're ready, let's get started.
system number one is pretty obvious it is getting a consistent flow of clients because if you don't get this right the rest of the things don't even matter now if i were running this completely on my own without hiring any sales guys marketing guys without spending thousands of dollars on ads my first choice would be content in 2026 content is power especially personal brands now the goal is not to ask chat gpd to give you six content pieces that you dump online instead the goal is to use ai for content research and content repurposing by that i mean that the actual content would be provided by us based on our own intelligence but turning it into a piece of content that actually works on social media and one that looks good and gets you engagement would be the job of ai And if you work like this with AI, your content is going to work.
It doesn't matter if you're using Canva to generate it or if you're using AI to generate it. What really matters is the content. the information that you're providing at the end of the day so we are going to work on part one but our focus would not be on part two which is designing and seeing what really works let me show you how you can do that so throughout this video we're going to be using cloud code as compared to cloud chat or chat gpt this is going to be the ultimate hub for everything we do unlike our normal chat this one has got way more capabilities which we would absolutely need to run a one -person business so all you need is a cloud paid subscription after that we will be accessing it inside of vs code so make sure you install vs code from the web once you're within vs code simply create a new folder give it a name you like and open it now from extensions simply download cloud code that should give you cloud's logo at the top and once you click on that logo cloud code should pop up at the very beginning it's going to ask you to sign up so make sure you do that
For the model, select Opus and make sure the effort level is currently set as high. So this is our cloud code setup, very similar to cloud chat. You send it a message and you get a reply.
The only thing is we have way more functionalities. So coming back to the content part, the first thing I'm going to do is I'm going to introduce myself and my company. I'm going to tell it what I'm trying to do, what is my goal, and then I'm going to ask it to save this information about me.
and act as my ultimate ai partner in this journey this is not just for content but for a lot of things that we will be doing okay so that is done Now let's start a new chat. Now moving on to content research.
I'm going to ask it to do a quick research to find the types of posts that are currently working on LinkedIn. The ones that perform well in my space. I do not have to re -repeat the same information that I work in the AI space and stuff like that because that has been saved as a part of the memory.
And let's send this over. To be honest, this research is not really for us. Instead, this is for AI.
So AI knows exactly what is working in the real market. And all of this is just context building. We're trying to give it more and more information so that it performs well for our use case.
it is kind of like training it okay so it has completed the research and it is identifying that pdf carousals perform really nice and to be honest that is true i have personally seen that as compared to text only posts like if a text only post gets 5000 impressions a carousal easily gets 10 000. then it has given some more ideas that you can go through at this point we will be giving it the information that we want to share So for example, I wanted to make a post on how you can stop hitting rate limits with GBD6 Astra.
And I wanted to share five different things that people can do that will save them from upgrading their plan. Now, this was based on my experience and based on my research. So that is my human touch.
But I don't want to spend three hours trying to create a carousel, making sure that everything is correct in terms of layout, because I'm not a designer. So then I'm going to ask it to create a PDF carousel for me. where the hook is visually attractive and the logos are used where needed okay so our carousel is ready as you can see it has got the logos etc because we mentioned that use the logos where needed it has also fetched my profile picture which was saved on my system and as you can see that it looks really nice and it matches my tone or you could say the type of carousals i create usually and the biggest reason for that is i have till date created almost 15 20 carousals using cloud code and by now it knows exactly what i want and because of that i get the correct result in the first go You might not get it.
You might have to tell it to include your icon and do things in the beginning. But as you create more and more carousals, it is going to update its memory and skills. And from then on, you will start getting the correct results in the first go.
Maybe it requires a few changes, but in the second go, it would be ready to publish. And that is exactly why I call this a system. Because you don't start from the very beginning.
You just continue. The only thing that you have to keep in mind is that at the end of the chat, once you've got your desired result, just tell it to save your preferences. Now it is up to Cloud Code if it wants to save it as a skill or memory, but it is going to keep a note of that and it will apply that on the next run.
And similarly, you can create content for other channels. So that was about content, but how do you convert them into leads? people who are interested in your services so for different platforms there are different ways for linkedin you can share a lead magnet which again ai can help you with if i talk specifically about platforms like instagram or facebook there are automations that you can set up where if people comment or if they dm you or if they reply to your story ai could have a conversation with them it could qualify them and if they are an ideal client for you it will ask them to you know either book a call or direct them to your website or your lead magnet basically whatever you want to do i have made another video on how you can set up that automation again using plot code so if you're interested you can check it out i will also put the link in the description this way you convert your viewers into actual potential clients now content in itself is not an overnight game it is a game of consistency it is a game of building trust once a person sees you at least 10 times on their feed only then they trust you enough to buy from you
So in the beginning, alongside your content, you could also be doing outreaching to potential clients using AI. AI can help you come up with the list of people to DM. It can also help you write personalized emails, etc.
And then you could either have an automated system to email them or send them a DM or cold call them. Or you could do it yourself like 10 a day, 20 a day. So that way you could start getting traction.
And the other way is using paid ads. It is a genuine way of getting clients, but I am personally not an expert in that. Neither have I tried it that much.
But to be honest, content is king. So if content clicks for you and it starts working, you don't even have to care about the other methods. You're going to get enough inbound from content itself.
If you're doing it right, obviously. If I had to add more to the list, I would add freelancing platforms like Upwork and Fiverr. AI can help you set up your profile.
It can help you pitch to different projects. And that way you can get system one flowing. So now that your business has started getting traction, meaning potential clients, now you need a system that actually brings the right ones onto a call.
First up, you need a website. It could even be a one -page website that tells what your agency does and what it helps with, basically your services. Now, obviously, you're not going to hire a team to build your website.
So how can AI help you? So I've already made a video on how Cloud Code can help you build a website for your business. Actually, a beautiful website, a presentable website.
It is a seven step framework that you can follow and build one for yourself. Now onto that website, you need a calendar, basically a place from where people can book meetings with you. Because you're a one person business, you do not want anyone to be booking a call with you.
so make sure you have some qualifying questions wherein if people answer certain things only then they get redirected to your calendar where they can book a slot and you can discard the other ones and i personally prefer having this as compared to a form because this is 2026 and not 2015. people don't really wait for like 48 hours to hear back from you So if they book a call with you, there is a high probability that they're going to work with you.
This is based on my experience. A lot of calls could be no -shows, but the ones that show up, there is a high probability that you would close as compared to you doing emails after they fill out a form on your website and then getting on a call two weeks later when they have lost interest. now talking about the actual meeting a lot of these would be discovery calls the client wants to see you they want to know how you work and how you are as a person and you on the other hand want to know about their business their pain points and what exactly they need help with Based on my experience after handling almost 150 plus discovery calls till date, I can guarantee you that 85 % of people are going to ask you for a proposal.
Even though the specifics or the scopes might not be fixed, they still would want a proposal from your agency. A lot of them are trying to collect quotations from different agencies. A lot of them are actually genuinely interested in your service.
Some of them want to see the pricing. Some of them want to see how professional you are. And the faster you send the proposal, the higher chances of you closing.
Now, you would think that in this journey, you would be alone. But that is not true. after taking almost 30 40 discovery calls i was tired of making notes which crm are they using which functionalities do they want which apis they have access to which apis they don't have access to i couldn't manage it all And from then on, I made sure that AI was part of my meetings so that I could focus completely on the meeting.
And after that, I could use the AI notes and summary to later on convert them into proposals, invoices, and the rest of the stuff, which would personally save me so much time. And the AI meeting assistant that I would suggest is Crisp. okay so i'm inside the zoom call and as you can see inside participants it only says yashika jain and josh there is no ai note taker but still crisp is recording this in the background it is transcribing it even the audio and the screen is being recorded and that is not the only thing i like about crisp if i actually go here and if i select the crisp microphone that would enable noise cancellation inside this meeting so even if i have background noise going on behind me if i speak through this mic on the other end only my voice would go without the background noise don't take my word for it i will give you a proof when we check out the recording now if i switch back to my normal ones and if i now speak i would still have background noise behind me okay so let me end this call and let's have a look at the results okay so here's the result so here we have the normal transcription the video is processing which is basically the screen recording then we have the audio here if you go to ai notes it will give you the action items the key points and the summary so now let me play the part where i had turned on the crisp microphone and i had background noise behind me
so even if i have background noise going on behind me if i speak through this mic on the other end only my voice would go without the background noise and now let me play the part where i had it turned off which is the normal settings and if i now speak i would still have background noise behind me so did you see the difference it was a major major difference okay i also tested out the accent conversion feature so let me show you how that works it's pretty interesting You just have to turn on the toggle for accent conversion and then this is how you would sound in case you're interested in something like this.
And by the way, Crisp also has a functionality that converts accents in real time on the call. So you just have to select Crisp as the microphone and that would convert your accent while it is being transmitted to the other person. Now, accents are completely your choice and every accent on this planet is perfect.
the end goal is just to provide the information but i personally found this interesting and i really wanted to share it with you now let's move on to the next system which is sales and follow -ups so i'm going to assume that the other person is interested in your service and they would like to receive a proposal from your end so in that case you simply have to copy either the transcription of this particular meeting or you could also copy the notes of the meeting and then we have to paste it into cloud but they also have a direct mcp connection using which you could directly sync both these platforms so either way is fine and you simply have to come here you have to paste that transcription for example i'm pasting this one which is going to have the name of the speaker and the timestamp i replaced that with a more realistic discovery call sort of a transcript where we have discussed literally everything and then i'm going to say using this discovery call context that we got from crisp create a proposal draft with all of these obviously you can change this based on your proposal structure and if you want to give it more details around the design of that final proposal you can and you can provide it with logos and then you can say that do not invent any pricing commitments or any terms
Because we are just using AI to come up with that draft, but at the end of the day, your decision matters on how this is to be structured in terms of cost, timeline, milestones, etc. Now this would also work very similar to the social media content, which is in the first few runs, you would have to give it feedback, a lot of feedback.
But then when you're generating your seventh proposal, your 10th proposal, it would already know what you like. So it is basically drafting the proposal on an artifact so that I can edit things myself if needed, instead of always bugging AI to change things, which is again, a nice thing. The only thing you have to keep in mind is that after every proposal just ask it to save your preference that's all okay so it has written the complete proposal now no doubt it would be really nice but still you would personally want to make changes as the founder of the company so either you can change them yourself or you can ask ai that is really up to you and then you can ask it to give you a pdf and you can send that over to your client so at this stage you're using it to generate proposals you're training it in a way such that the first time if it takes 30 minutes the seventh time only takes 12 minutes then the next thing you could do is you could ask it to give you follow -up reminders
A lot of times we forget to follow up on our proposals. So you could ask it to schedule a cron job, which is, okay, remind me on Monday to follow up with them and it can draft the follow up for you. Now at this stage, a lot of clients are going to ask for your case studies.
So you can use Claude to come up with them as well. And you could also create like a quick landing page where you show your reviews, testimonials, your case studies, etc.
And you can directly send that over along with the proposal. Now, a lot of people would miss one step that I would like to recommend. You should ask it to create a client folder which contains the transcript, meeting details, the proposal and follow up history.
and for now you can mark it as potential now what this would do is it is going to save their details inside our project folder now let's say that they do agree to work with you so now you don't have to spend time telling claude again about the same client when you're using it for the rest of the processes you can simply ask it to go to that folder and just get the context and let's work on the next thing.
And in case they don't turn into a client, once in a week, you can ask it to delete the folders of those people. And it can do that in like two minutes. So this way, all the context is preserved.
And even in the future, if you're having more meetings with this client, you can take the crisp transcript and the notes, and you can ask it to add it to this particular folder. so make sure you have something like this before we move on to the next system so now that we've got a yes from the client it is time to work on a lot of things invoices contracts onboarding guides all of it so this could be even seven days after your proposal you could simply come into cloud code and you could say that josh has agreed So please draft the contract and the onboarding guide that tells them what we need from them and how to generate them.
For example, we need access to, let's say, OpenAI. Okay, so we need the OpenAI API key. So we're going to tell them that go to this platform, generate the keys and send them over to us.
Also include a few questions to know their preferences. For example, should the voice agent be a male or female? right so things like these and after two or three of these this would be templated so you don't have to mention all of this again you simply say draft the contract give me the onboarding guide same concept so now it would generate these and it would save them inside the client folder for things like invoice i still think you should manually create them on stripe and send them over it's also like a dopamine rush for you and i still do that manually i don't want to automate that process so now it is drafting the contract just get this right once and then you don't have to worry about the clauses and all it is just going to update the information and you can send it over if you want to save even more time at this step what you could do is you can connect it to your contracting software the one that is going to send the agreement for example like docusign or panda doc or whichever one you use so that it can directly create the contract there so you just have to send it then
Okay, so now it's working on the onboarding guide and that should sort out the client onboarding. If you want, you can set up follow -ups. For example, in two days, Claude is going to ask you, did they sign the contract?
And that reminds you that, okay, I have to follow up. So that's also something you can do. Now, the second part is the delivery.
This is heavily dependent on your agency type. Are you like a marketing agency? Are you an AI agency?
Really depends. If I give you my own example, a lot of times, For AI agencies, they need a lot of prompts, etc.
And they already have a vault of prompts they have been using and that are working. So for a case like that, you could upload that to cloud code. And for your newer clients, you can just ask it to update those details.
And now you save a lot of time editing those prompts. So that is one example. Similarly, there are other parts of delivery that you could automate.
as i said it is heavily dependent on your use case but i'm pretty sure clot code can help you because it is a coding assistant so that is why i'm not gonna cover a lot on delivery and i'm gonna leave it more towards you but one thing i can say for sure is that during the delivery this context is going to help you you don't have to give it the details of the project again and again the next system is admin and back office basically everything that we have not covered things like replying to emails things like giving clients update etc so for client updates cloud can help you you can just you know once in a while tell it the status of the project and it can remind you at certain stages that okay it is the time to update the client about milestone two for example so that's one example the other could be your emails So we essentially need an AI system that learns from our previous emails and responds to similar emails like drafts a reply so that we can just hit it off.
Now, I wouldn't recommend connecting your email to these different AI agents directly. I personally don't do that. So what I really do is I get the Gemini subscription.
which is for Gmail, and that way I have Gemini activated inside my inbox. So for example, I got this email for a collaboration. Now I get tens and hundreds of these emails every single month.
So instead of spending my energy trying to draft an email for all of them, I could just click on the suggested reply, which is the exact reply that I would send, and I can send it instead of going to ChatGPT and typing things or typing it myself. So that really helps. These things might seem small to you, but they are the biggest time eaters, the emails, etc.
And because I have Gemini, I also get them inside Google Docs and Google Sheets, etc. So when I'm managing things on Google Sheet, I can again use the help of Gemini a lot of times. Same thing for Google Docs and other apps.
So basically, Cloud Code can help you with 80 -85 % of your work, but the remaining you will have to use tools like Gemini or related ones based on your workflows. I've given you an idea of how the generic things like email, etc. can be automated.
Moving on to the next system, which is a system that would integrate all the other systems. So essentially, you should ask Cloud Code to build you a dashboard. A dashboard from where you can see everything.
The proposals you have sent, the details, the tasks, everything. So this is like a view of this, if that makes sense to you. So now how does this update itself?
So whenever you're having a chat with Claude, it would automatically update the dashboard as well. This could be for your internal use and you could literally add as many features as you want. You can see whatever you want.
And building this dashboard is so easy. You just have to ask it to build you a clean AI CEO dashboard that should have the following things. You can give it any other details you want.
the one that i'm showing you here is obviously a demo it has dummy data nothing is real here and this is also an artifact so if you want me to make like a complete video on something like this let me know in the comments up until then if you want to set it up you just have to send a simple prompt like this and that is how you could be running a one -person business using the help of ai These steps that I've shown you would really save you hours and hours every single week so that you can focus more on expanding the business.
I personally have a cloud code project that I've been running for like nine months now, which has all the details ever since. Things that we've worked on, things we're going to work on, our client details, everything. It's like a complete knowledge base.
